Introducing LeaveSync

What is LeaveSync?

LeaveSync is a leave management and availability publishing platform built exclusively for teams using Xero Payroll. It connects to Xero Payroll AU, NZ, and UK via OAuth, syncs approved leave continuously, and publishes secure ICS calendar feeds per person.

If your team uses Xero Payroll and you have ever struggled to know who is on leave without checking Xero or a spreadsheet, LeaveSync is built for you.

How it works

The architecture is straightforward:

1. Connect your Xero Payroll account via OAuth. LeaveSync reads your employees and their approved leave.
2. Submit and approve leave inside LeaveSync. Employees request leave, managers approve or decline. Every decision writes back to Xero synchronously.
3. Subscribe to the ICS feed. Each employee has a personal ICS feed URL, secured with a signed token. Add it to Outlook, Google Calendar, or Apple Calendar once. It updates automatically.

Beyond leave

Leave is not the only reason someone is unavailable or working differently. LeaveSync supports four manual availability entry types alongside approved leave:

• WFH (working from home)
• Travelling
• Training
• Client site

These appear in ICS feeds alongside approved leave, so managers see the full picture, not just formal leave.

Privacy controls

Not all leave should be visible to everyone. LeaveSync lets administrators configure privacy rules per leave category. Sensitive categories can be hidden from published feeds entirely, or shown as unavailable without category detail.

The employee whose feed it is always sees their own leave in full. Privacy rules apply only to what other people see when they subscribe.
